Events Policy

By registering for a UBC Accounting Club event, you agree to abide by and honour the UBC Accounting Club Events Policy.

As a club, we have a duty to inform employers (well in advance) of any changes to their event. Late cancellations, no-shows, and tardiness ultimately affect our club’s members and can prove to be detrimental when the UBC Accounting Club attempts to secure an event in future years.

Event Guidelines

We are committed to promoting and maintaining an environment where all members are treated with dignity and respect. As part of this commitment, we expect all members to conduct themselves in a respectful, cooperative, professional, and courteous manner at Club functions.

Unless otherwise stated, business casual is required for all employer-facing events.

Registration

Event registration is based on a first-come, first-served basis (unless otherwise stated). Please note that signing up does not guarantee you a spot.

A member of the UBC Accounting Club executive team must confirm your spot, via email, prior to the event

For certain events (such as our Day in a CPA Firm series), the UBC Accounting Club may offer both morning and afternoon sessions. Please be advised that you are only permitted to register for one of the two time slots unless otherwise stated. Registering for two time slots will nullify your registration and you will risk losing your spot as a result.

Cancellations

If you have been guaranteed a spot at any Club event and can no longer attend, you must email our Communications Director at info@ubcaccountingclub.com. In addition, this must be done least 2 business days prior to the event to avoid being considered as a no-show.

Last minute cancellations, supported by valid reasons / documentation will be considered.

No-Show Policy

While the UBC Accounting Club attempts to accommodate as many members as possible, there are limited spots for each event. Therefore, no-shows are an inconvenience as they deny other members from attending.

Members who cancel within 2 business days of an event, fail to attend, or arrive over 10 minutes late will be considered as a no-show.

Penalties for No-Shows

A student will be assessed additional penalties for each additional “no-show”. Penalties for late cancellations and no-shows are as follows:

  1. First Infraction – Warning Email
  2. Second Infraction – Loss of UBC Accounting Club event registration privileges for the remainder of the semester.
  3. Third Infraction – Termination of membership

The names of all no-shows and late cancellations will be forwarded to their respective employers following each event.
